A client of ours located in Alexandria, Va is looking for a Temporary Event Coordinator to assist with a huge anniversary party at the end of March. Please see a the responsibilities of this position below
a. Venue Coordination. Work with GW Masonic Temple venue staff to coordinate on all logistics leading up to the event, including venue set up, lighting, decoration, sound equipment, etc. Work with hotel for possible use of hospitality space for post-event gathering.
b. Catering. Identify catering company, create menu with input from client's Event Planning Committee (EPC), manage vendor contract, and serve as contact person for the client throughout the process, including day of event.
c. Sponsorship/Partnerships. Solicitation and securement of vendor sponsorship and community partners to help support the event and meet funding requirements.
d. Beer/Wine. Identify beer/wine vendor(s), create menu with input from EPC, manage vendor contract, and serve as contact person for the client throughout the process, including day of event.
e. Entertainment. Identify musical performers with EPC, secure/manage contract, and coordinate with performers for all logistics.
f. Event Program. Coordinate with EPC on event program to ensure that awards ceremony, VIP remarks, etc run smoothly
g. Decorations/Graphics. Coordinate with our client's Marketing team on any graphics, posters, sponsor logos, or other decorations that are needed for venue.
h. Event Day Coordination. Serve as the Day-Of point person to deal with any last minute issues that occur onsite and ensure a successful event, direct all on-site staff.
