Job Description

Our client is a mechanical contractor with nearly 4,000 field, shop, and office employees. Our four-person in-house payroll team processes weekly construction payroll for the entire workforce. We are adding a Payroll Specialist to support new-hire entry, weekly timecard processing, and employee record maintenance. This role supports multi-rate and job-costed labor, union and/or prevailing wage compliance, and close coordination with project management and accounting to ensure proper labor distribution, deductions, and reporting. This position is fully onsite at our Buda, Texas office. Overtime may be required during weekly payroll processing, project start-ups, or year-end activities.

Key Responsibilities

· Review, validate, and key weekly timecards for field crews and shop employees; follow up on missing or incorrect data.

· Enter new hires into the payroll system accurately and completely, including pay rates, deductions, direct deposit, and tax setup.

· Ensure labor is properly allocated to jobs/cost codes for job costing; coordinate corrections with project managers and accounting.

· Maintain employee pay profiles including multiple rates, union classifications, fringes, deductions, garnishments, and direct deposit.

· Respond to employee pay questions and resolve routine issues with attention to confidentiality.

· Support the payroll team during weekly payroll close, month-end, and year-end tasks as directed.

· Maintain organized records and documentation in line with retention requirements.

· Support continuous improvement of payroll processes and controls; document procedures and participate in system upgrades/testing.

Required Skills & Experience

Required Qualifications

· 2–4 years of hands-on payroll processing experience; construction or field-employee payroll a plus.

· Working knowledge of basic payroll concepts: pay rates, deductions, garnishments, taxes, and direct deposit.

· Proficiency with payroll or timekeeping software; comfortable in Excel (sorting, filters, basic lookups).

· High attention to detail and ability to meet firm weekly deadlines.

· Handles sensitive employee information with discretion.

Nice to Have Skills & Experience

Preferred

· Experience with Viewpoint Vista or a similar construction ERP/payroll system.

· Familiarity with job costing or labor distribution.
