Job Description

Overview
We are seeking a highly organized, proactive Executive Assistant to provide direct support to the CEO. This individual will serve as a strategic partner in managing day-to-day administrative operations, with a primary focus on calendar management, expense reporting, and travel coordination. The ideal candidate is detail-oriented, exercises strong judgment, and can operate independently to make informed decisions on prioritization and escalation.

Key Responsibilities
Calendar Management & Prioritization

Own and manage the CEO’s complex calendar, including scheduling, rescheduling, and prioritizing meetings
Assess incoming meeting requests and determine alignment with business priorities
Proactively anticipate conflicts and adjust schedules accordingly
Exercise discretion in determining which meetings require CEO involvement vs. delegation

Travel Coordination

Plan and book all domestic and international travel (flights, hotels, transportation, itineraries)
Optimize travel schedules for efficiency, cost, and productivity
Prepare detailed itineraries and proactively address changes or disruptions

Expense Management

Prepare, submit, and track expense reports in a timely and accurate manner
Ensure compliance with company expense policies
Maintain organized records and documentation for all expenses


Decision-Making & Executive Support

Act as a gatekeeper for the CEO, managing communications and determining what requires direct attention
Independently triage requests and make judgment calls on urgency and relevance
Escalate high-priority or sensitive matters while filtering out non-essential items
Maintain confidentiality and professionalism in all interactions
Partner closely with internal and external stakeholders on the CEO’s behalf

Required Skills & Experience

4 years of executive assistant experience specifically responsible for calendar management, expenses, and travel coordination.
Bachelor's degree.
Previous experience supporting C-level executives.

Nice to Have Skills & Experience

Experience booking international travel, specifically APAC.
