Job Description

The Administrative Assistant will support account managers and sales teams of an auto auction client, by handling the behind‑the‑scenes work that keeps sales running smoothly. The focus is on setting up and maintaining seller accounts, routing leads and communications, and helping ensure sales are processed correctly so commissions and revenue are accurate.

Day to day:
Set up and manage seller codes in the system, including entering company details, linking contracts and fees, assigning locations and sales reps, activating accounts, and giving sellers access to log in and accept terms.
Check existing records to avoid duplicates and keep data accurate.
Distribute incoming leads and route emails and phone calls to the right account managers or teams.
Help with follow‑ups after negotiations by creating sales or auctions and coordinating post‑sale tasks like title processing, picking up proceeds, and closing out lots.

Required Skills & Experience

1+ years office/administrative or customer service experience (entry-level acceptable with strong attention to detail).
Proficient with Microsoft Office (Word, Excel, PowerPoint); basic–intermediate Excel skills.
Strong attention to detail and accuracy in data entry.
Excellent multitasking, prioritization, and organizational skills.
Professional phone/customer service skills; ability to de-escalate and troubleshoot.
Basic computer literacy (copy/paste, file management, common sense use of software).

Bilingual - Spanish
