Job Description

We are looking for a detail-oriented and proactive HR Coordinator to join our team on a contract basis. You will ensure that our data is impeccable, our new hires feel welcomed, and our office culture remains vibrant. This is a fantastic opportunity for someone who thrives on organization and enjoys a mix of technical data management and people-facing coordination.

Data Integrity & Record Keeping
● Data Entry: Maintain accurate employee records within our HRIS, ensuring all personal and professional data is up to date.
○ Organize and maintain a clean, logical folder structure in GDrive to ensure documents are easily searchable for the HR team.
○ Transition of active files to “terminated” status, ensuring retention policies are followed.
○ Create SOPs for how documents are stored and purged.
● Audit Management: Conduct regular audits of physical and digital employee files to ensure compliance with legal and internal standards.
● Process Documentation: Help standardize our workflows by creating or updating "how-to" guides for internal HR processes.
● Data “Change” Management: Updating the system when someone gets a promotion, a pay raise, or changes from part-time to full-time. Track training attendance and certifications to ensure ongoing compliance.

Onboarding & Offboarding Support
● Pre-Onboarding: Serve as the primary liaison between the new hire and the company to clear all contingencies (background checks, I-9 verification) and gather necessary new-hire paperwork.
● Asset Coordination: Partner with IT and Facilities to ensure laptops, badges, and desk setups are ready before the start date.
● Orientation Logistics: Manage the "behind-the-scenes" of New Hire Orientation, including scheduling presenters, sending invites, and ensuring tech/access is ready for Day 1.
● Follow-up Touchpoints: Schedule 30-60-90 day check-ins.
● Exit Logistics: Handling the non-confidential parts of onboarding, such as termination paperwork, collecting ID badges, and scheduling exit interviews.

Culture & Engagement
● Event Coordination: Assist with the brainstorming and execution of team-building and special events including vendor management, scheduling, promotion and catering orders.
● Swag Store: Support the management of our “swag” inventory and ensure all new hires receive their welcome kits.
● Knowledge Library: Maintain and update employee-facing HR content in GDrive and other platforms.

Administrative Partnership
● HR Team Support: Provide administrative "as-needed" support to our HR Team (e.g., pulling reports, scheduling sensitive meetings, or assisting with internal communications).
● Timesheet & Attendance Audits: Assist the HR Generalist in the preparation of semi-monthly payroll by auditing timesheets (chasing down managers who haven’t approved their team’s hours by the deadline), and processing status changes (hires, terms, salary updates). Verify that vacation and sick time taken by employees has been coded correctly in the system.
● Expense Reporting: Prepare and process HR team expense reports and other administrative tasks as needed.
● Ticket Monitoring: Serve as a primary owner of the HR ticketing system (Jira/Asana), ensuring every inquiry receives a response within 24 hours and resolve “Tier 1” inquires independently, such as password resets for the HRIS, requests for employment verification, or basic policy clarifications (“Where do I find the holiday schedule?”). Identify and escalate complex inquiries - such as sensitive employee relations issues, legal concerns, or complex LOA requests - to the appropriate HR Generalist or HRBP. Monitor recurring themes in tickets to help the HR team identify where more employee communication or updated documentation (FAQs) may be needed.

Required Skills & Experience

● HR Tech Savvy: Experience with modern HR platforms (TriNet, ADP, BambooHR, Rippling, Workday, Zenefits, Lattice) and ticketing systems (Zendesk, Jira).
● Data Fluency: Proficiency in G-Suite/Office 365, Excel (ability to use formals and filters to audit large data sets), and presentation design.
● Discretion: An unwavering commitment to confidentiality and the ability to handle sensitive information with total integrity.
● Communication: Excellent verbal and written communication skills. A professional communication style with the ability to “triage” needs under pressure.
● Organization: Exceptional organizational skills, data-centric mindset, and attention to detail - you notice the small errors others might miss.
● Attitude: A proactive, solutions-oriented mindset and enthusiasm for learning every aspect of the HR function. A “no job too small” mentality and a willingness to roll up your sleeves to get things done.
