Job Description

Insight Global is hiring an Executive Assistant to join a Biotechnology/Pharmaceutical company in Dallas. This role will handle a variety of administrative responsibilities to ensure smooth day-to-day operations. This position offers a strong opportunity for a resourceful administrative professional to proactively create and implement new procedures that enable the leadership team to focus on our scientific and business objectives.

Essential Duties and Responsibilities
• Provide high-level administrative support to up to four executives, including calendar management and meeting coordination.
• Prepare and format documents such as presentations, reports, internal and external communications, and Board materials.
• Arrange domestic and international travel, accommodations, and itineraries; manage related expense reports.
• Plan meetings including room bookings, agenda preparation, and meal/snack delivery when requested. Typical meetings include those with the Board of Directors, external collaborators, and vendors.
• Manage the relationship with the IT vendor, including ordering equipment, receiving shipments, and maintaining a list of IT equipment assigned to employees.
• Participate in new employee onboarding:
• Liaise with UT-Southwestern staff for badge access, email setup, Wi-Fi, and parking.
• Coordinate with the IT vendor to obtain equipment and system access for new hires.
• Plan occasional events such as dinners and employee outings.
• Serve as liaison for UT-Southwestern (including the Siegwart lab), as needed.
• Handle confidential information with discretion.

Required Skills & Experience

- 5+ years of experience in Executive Support
- Strong PowerPoint skills
- Experienced in: handling travel arrangements, Expense processing, Calendar management, Meeting support
- MS Suite proficiency
- Proactive attitude/anticipates – confidence to suggest new ideas, not waiting around to be told what to do

Nice to Have Skills & Experience

- Experience in pharma/Bio-tech industry/scientific setting
- Small startup organization
- Purchasing experience
- Contract experience – NDA’s/Confidentiality agreements – preparing/keeping on file
