Job Description

Job Purpose and Scope

The Facilities & Workplace Experience Manager is responsible for creating and maintaining a physical environment that inspires, engages, and supports employees while ensuring safe, efficient, and compliant operations. This role blends traditional facilities management with a strategic focus on employee experience, ambience, and cultural alignment.
The Manager oversees day-to-day building operations, safety, and security for the Banks headquarters, while curating a workplace that fosters collaboration, comfort, and pride. This includes managing vendor relationships, supervising key facilities staff, leading space planning initiatives, and driving programs that enhance workplace satisfaction.

Essential Responsibilities

Operations, Safety & Compliance

Oversee maintenance, repair, and operations of building systems including HVAC, lighting, plumbing, electrical, elevators, and access control systems.
Conduct regular facility inspections and implement preventive maintenance programs to minimize disruptions.
Supervise custodial services provided by day porters and night crews; ensure quality, responsiveness, and adherence to cleaning standards.
Serve as the primary contact for building emergencies, business continuity related to facilities, and incident resolution.
Lead workplace safety programs, including emergency preparedness, evacuation drills, and first-aid readiness.
Maintain compliance with OSHA, ADA, and other applicable local, state, and federal regulations.
Oversee building security operations, including vendor management for on-site security staff, access systems, visitor protocols, and incident investigations.

Workplace Experience & Environment

Curate the look and feel of the workplace to reflect organizational values and brand, ensuring spaces are welcoming, engaging, and conducive to productivity.
Enhance common areas, wellness spaces, and collaborative zones to encourage connection, creativity, and comfort.
Partner with Communications, Events, HR, and DEI teams to integrate cultural and engagement initiatives into the physical space.
Oversee space planning, office configuration, furniture installation, and ergonomic assessments to support employee needs and future growth.
Coordinate internal events and meetings, including room setup, equipment staging, and post-event restoration.
Manage the onboarding and offboarding process as it relates to workspace, access, and equipment setup.
Gather and respond to employee feedback on workplace cleanliness, safety, and environment to continuously improve the employee experience.

Vendor & Budget Management

Manage relationships and contracts for facilities-related vendors, including janitorial, security, landscaping, office supplies, and furniture providers.
Monitor and manage facilities budgets, approve invoices, and track capital expenditures.
Negotiate vendor agreements to ensure cost-effective, high-quality service delivery.

Team Leadership

Directly supervise the Mailroom and Administration Manager, Day Porter, and Security Guard, setting clear expectations and ensuring high performance.
Provide guidance, feedback, and development opportunities to foster service excellence.

Required Skills & Experience

Education and Experience Requirements

Bachelors degree in Facilities Management, Business Administration, Architecture, or related field preferred; equivalent combination of education and experience considered.
Six (6) or more years of experience managing facilities operations, workplace programs, or corporate real estate in a professional services environment.
Experience managing vendors, budgets, and contracts.
Prior supervisory experience, including oversight of contractors or in-house staff.

Required Knowledge and Skills

Strong understanding of building systems and facilities operations (e.g., HVAC, electrical, plumbing, access control).
Knowledge of workplace design principles and how physical space influences engagement and productivity.
Proficiency in Microsoft Office Suite; familiarity with facilities management software preferred.
Strong project management and organizational skills.
Excellent written and verbal communication skills, with the ability to partner cross-functionally.
Calm, decisive, and service-oriented approach to problem-solving, especially during urgent situations.
Familiarity with OSHA, ADA, and related regulatory requirements.
