We are seeking a highly organized and proactive Event Coordinator/Administrative Assistant to join our team. This role combines event coordination with high-level administrative support, requiring a detail-oriented individual with excellent communication skills and the ability to manage multiple tasks efficiently. The ideal candidate will possess a positive attitude, strong interpersonal skills, and the capability to drive initiatives to completion.
Key Responsibilities:
Coordinate and manage all aspects of event planning and execution, including scheduling, logistics, and vendor management.
Handle administrative tasks such as maintaining event calendars, preparing event materials, and managing event budgets.
Communicate effectively with internal teams, vendors, and event participants to ensure seamless event execution.
Drive initiatives and ensure that all event-related tasks are completed on time and to the highest standard.
Provide on-site support during events to address any issues and ensure smooth operations.
Collaborate with various departments to align event goals with organizational objectives.
Prepare post-event reports and analyze feedback to improve future events.
Supervise general office duties, including ordering supplies, maintaining records management systems, and performing basic bookkeeping tasks.
Review and approve invoices, reports, memos, letters, financial statements, and other documents.
Review and approve corporate documents, records, and reports.
Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
Prepare agendas and make arrangements for committee, board, and other meetings.
Make arrangements for travel, planning meetings, and other related tasks.
