Job Description

The Administrative Assistant is responsible for the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.

Responsibilities:
Organize meetings, liaise with HQ, handle emails, arrange rooms, and welcome guests.
Draft contracts/invoices, support expat billing, and approve timesheets.
Conduct weekly article research, create summaries with ChatGPT, and proofread.
Gather and update bi-weekly and monthly reports.
Standardize and maintain SharePoint folders and file names.
Keep Strategy Intra Portal content updated.

Required Skills & Experience

Minimum of an Associates degree.
3+ years in an administrative role.
Excellent verbal and written communication
Strong interpersonal and customer service skills
Proficiency in Microsoft Office Suite
Excellent organizational skills and attention to detail

Nice to Have Skills & Experience

Proficiency in PowerPoint slide creation and document design
Experience in web-based research
Fluency in Japanese and English
Willingness to learn new tools/functions (e.g., ChatGPT, Excel pivot/functions)
