Job Description

Politely greets guests and visitors coming into the office.
Answer multiple telephone lines and properly answer, transfer, or take messages in a professional and pleasant manner.
Answers inquiries and provides clear and concise information such as company address, directions to the company location, company website, business leader contacts, and other related business information.
Schedules and maintains conference room schedule.
Manages mail and courier services, including the proper handling, sorting, and distribution of mail and courier packages.
Maintains and updates the company directory and desk/name plan and allocation reports for the BV Greenspoint Office.
Controls, monitors and maintains secured access into office workspaces. Manages security access system and issue access cards to new employees.
Assists in the ordering, receiving, stocking and distribution of office and pantry supplies.
Acts as liaison with building management for maintenance/building issues.
Performs space condition audits to ensure for a neat and clean work environment.
Additional duties may be assigned.

Required Skills & Experience

Associates degree in business related program (Bachelors degree preferred), and 2 or more years experience in a corporate environment, front desk administrative role; or equivalent combination of education and experience.
Represents the company by providing a friendly and positive first impression to callers and visitors.
Works independently but within a team on special projects.
Must have a high level of interpersonal skills to handle sensitive and confidential situations and non-routine information.
Position continually requires demonstrated poise, tact and diplomacy.
Must be able to interact and communicate professionally with individuals at all levels of the organization, and various cultural backgrounds.
Must be process oriented and able to analyze bottlenecks and provide solutions to increase efficiency where appropriate.
Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
