Job Description

A growing HVAC, hydronics, sales, and service organization is seeking a professional and organized Receptionist to support daily office operations. This flexible, in-person, part-time role typically works primarily between 8:00 a.m. and 1:00 p.m. The ideal candidate is customer-focused, detail-oriented, and proactive, with a strong commitment to providing excellent service and maintaining a professional office environment.

Responsibilities:

Answer and direct incoming phone calls while providing exceptional customer service.
Greet visitors, clients, and guests in a professional and welcoming manner.
Research and assist with customer inquiries and routine office matters.
Maintain office supply inventory, place orders, and monitor stock levels.
Keep break room supplies stocked and organized.
Receive, sort, and distribute incoming mail and packages.
Record and process incoming checks.
Manage business licenses, renewals, and related administrative requirements.
Coordinate catering arrangements for meetings, lunches, and company events.
Organize employee and client appreciation gifts, cards, and special recognitions.
Maintain training room and conference room schedules.
Manage and update company calendars in Outlook, including meetings, employee anniversaries, and birthdays.
Support office equipment operations, including phones, postage systems, audiovisual equipment, and copiers.
Coordinate maintenance, troubleshoot issues, and arrange repairs as needed.
Maintain equipment inventories and assist with evaluating new office equipment and solutions.

Required Skills & Experience

- 2-3 years of experience in customer service, reception, or administrative support roles, ideally within a professional office setting.

-Strong organizational and time-management skills.
-Ability to manage multiple priorities in a fast-paced environment.

-Proactive problem-solving skills and the ability to anticipate needs.

-High attention to detail and commitment to accuracy.

-Proficiency in Microsoft Office applications.
