Job Description

The Document Control Assistant supports the Quality Management System (QMS) by scanning, organizing, indexing, and archiving production and quality records — including in-process inspection records, final inspection documentation, and Factory Acceptance Test (FAT) records (commonly referred to as “yellow folders”). This is an entry-level, hands-on administrative role that requires meticulous attention to detail, strong organizational habits, and the ability to follow defined processes consistently. The position is critical to maintaining audit-ready records in accordance with QMS and ISO 9001:2015 retention requirements.

Required Skills & Experience

• High School Diploma or GED required.
• Minimum 1 year of clerical, administrative, or office support experience.
• Basic computer skills, including Microsoft Office (Word, Excel, Outlook), File Explorer (creating folders, renaming files, navigating directories), and operating multi-function printers, copiers, and scanners.
• Strong attention to detail and accuracy.
• Strong organizational skills for physical and digital filing.
• Ability to follow written and verbal procedures with minimal supervision.

Nice to Have Skills & Experience

• Some college coursework or an Associate’s degree.
• Bilingual (English/Spanish) strongly preferred.
• Prior experience in a manufacturing, quality, or document control environment.
• Familiarity with SharePoint or other electronic document management systems.
