Job Description
The QMS Specialist plays a key role in maintaining and improving the organization’s quality management system by facilitating the document control process, including receiving, reviewing, and processing new or revised documents in accordance with established requirements. This individual partners closely with the Quality Systems Manager to enhance document control systems and ensure compliance with ISO9001:2015 standards. Responsibilities include developing and maintaining process standards, work instructions, and forms, as well as supporting others in drafting procedures when needed. The role also involves conducting internal audits, coordinating external audits, and supporting customer inquiries and audits through data collection and documentation. In addition, the QMS Specialist manages quality-related documentation such as print releases, deviations, and quality alerts, while ensuring accurate recordkeeping through scanning, archiving, and maintaining inspection documentation. This position provides general administrative support to the quality function, including organizing lab areas, printing materials, updating logs and reports, and ordering supplies. The QMS Specialist is expected to contribute to continuous improvement efforts and take on additional responsibilities as assigned.

Required Skills & Experience
-1+ year of QMS experience.
-Working knowledge of ISO 9001:2015 and experience operating within a Quality Management System (QMS), including support for compliance, document control, and audit readiness.
-Experience participating in internal audits (ISO 9001 or similar), including evidence collection, documentation of findings, and follow-up on corrective actions.
-Proven document control experience, including managing controlled documents/records, version control, approvals, and archiving, with ability to support process documentation updates.
-Proficiency in SharePoint for managing document libraries, including structured filing, version tracking, and publishing controlled documents.
-Strong Microsoft 365 skills, particularly in Excel, Word, and PowerPoint for tracking, analysis, document formatting, and professional communication.
Nice to Have Skills & Experience
-Experience with Power Automate (and/or Power Apps / Power BI), particularly for workflow support, notifications/routing, and KPI reporting/dashboard assistance.
-Quality auditor experience and/or additional ISO 9001 internal audit training/qualification.
