Job Description

We are seeking a detail-oriented and proactive Credit & Collections Specialist to manage a high-volume portfolio of customer accounts. This role requires strong analytical skills, persistence, and the ability to navigate complex invoicing and dispute scenarios while maintaining excellent communication with both internal teams and external customers.

Key Responsibilities

-Manage a portfolio of approximately 150–200 customer accounts, each with multiple invoices at varying stages of the collections lifecycle
-Perform full-cycle collections, including outreach to customers for payment resolution on outstanding balances
-Monitor and maintain accounts receivable aging balances ranging from $8M–$10M, with responsibility for achieving collection targets of approximately 55%
-Analyze and track large volumes of invoices (up to 50 per account), ensuring accurate status updates and timely follow-up
-Investigate and resolve discrepancies related to invoicing, approvals, coding, and payment processing issues -
-Coordinate the physical invoice approval process, including tracking documents that require signatures or stamps at job sites and identifying missing or delayed paperwork
-Conduct extensive research to determine the status of invoices and resolve complex collection challenges
-Manage and track a high volume of disputes, contributing to a team workload of up to 50 disputes per day
-Maintain detailed account notes and documentation to ensure accuracy and visibility across teams
-Collaborate closely with internal sales teams to validate account details and support resolution of outstanding balances
-Utilize ERP systems (AS400) and customer portals to access invoice data and monitor account activity
-Handle a high volume of email communication, including issue resolution, follow-ups, and coordination across stakeholders

Required Skills & Experience

-3–5+ years of experience in Accounts Receivable or Collections
-Strong attention to detail and ability to manage complex, high-volume workloads
-Excellent written and verbal communication skills with professional email etiquette
Proven ability to manage time effectively and prioritize competing tasks
-Proficiency in Microsoft Excel (comfortable using as a daily tool)
-Demonstrated problem-solving skills with the ability to think critically and outside the box

Nice to Have Skills & Experience

-Experience in construction, rental, or oil & gas industries.
-Familiarity with AS400 or similar ERP systems.
-Experience working with customer billing portals.
