Job Description
Summary
This role supports the Service Coordinators and broader Service team by managing incoming requests, tracking service activity, and ensuring accurate documentation across all service work. The position is highly administrative and coordination-focused, with an emphasis on organization, follow-through, and maintaining accurate records in Excel and internal systems. This individual will primarily work through email and internal communication channels to keep service operations running smoothly.
Responsibilities
• Manage and triage incoming service-related emails and requests
• Log and maintain accurate service data in Excel tracking sheets (service logs, warranty logs, etc.)
• Track and follow up on customer quotes to ensure timely responses
• Complete and submit warranty claim documentation
• Maintain and update service records, ensuring accuracy and proper documentation
• Monitor ongoing service requests and follow up with Service Coordinators for updates
• Support processing of Service Visit Reports (SVRs) and other service documentation
• Assist with service scheduling updates and administrative coordination tasks
• Maintain organized email threads and documentation to ensure clear communication and traceability
• Communicate with internal teams and, occasionally, customers via email and phone

Required Skills & Experience
• Strong organizational skills with the ability to manage multiple email threads and tasks simultaneously
• High attention to detail, especially when entering and maintaining data in Excel
• Experience using Excel for tracking/logging data (no advanced formulas required)
• Ability to follow through on tasks, ask clarifying questions, and document processes/answers
• Strong written communication skills (email-focused) and professional communication style
• Proactive mindset and ability to stay on top of follow-ups with internal stakeholders
• Quick learner who can pick up processes and systems efficiently
Nice to Have Skills & Experience
• Experience in a service, operations, or administrative support role
• Experience supporting service coordinators, field service teams, or technical teams
• Familiarity with warranty claims or service documentation processes
• Experience working with ERP systems or service management tools
• Basic understanding or interest in technical/engineering environments
