Job Description
A construction employer seeking a proactive and detail-oriented Administrative Assistant to support our Risk Management team during a critical subcontractor pre-qualification phase. This part-time contract role is essential to ensuring timely and accurate documentation from subcontractors during the bidding process.
The company works with 12,000–15,000 subcontractors, and this role will help assess their potential success by gathering key information such as safety records, insurance documentation, and financial data.
Key Responsibilities:
Initiate and manage outbound calls and emails to subcontractors to remind them to complete their pre-qualification documentation.
Perform quality checks on submitted materials to ensure completeness and accuracy.
Track outreach efforts and ensure at least three contact attempts within the first five days of the two-week submission window.
Escalate cases where documentation is not received or is incomplete after initial outreach.
Maintain organized records and collaborate with internal Risk Management team members to support compliance and bid-readiness

Required Skills & Experience
- Prior experience as an administrative assistant or in a similar support role.
- Comfortable with high-volume outbound/inbound communication via phone and email.
- Proficiency in Microsoft Office Suite, especially Outlook and Excel.
- Strong attention to detail and ability to manage multiple tasks simultaneously.
- Willingness to work onsite in a collaborative, fast-paced environment.
Nice to Have Skills & Experience
- Experience in the construction industry or with subcontractor management.
- Familiarity with risk management, insurance documentation, or compliance processes.
