Job Description
We are seeking a polished, highly organized Executive Assistant to support senior leadership in a fast-paced environment. This role requires managing complex calendars, coordinating meetings, arranging travel, and ensuring smooth communication across internal teams and external stakeholders.
The ideal candidate is proactive, resourceful, and skilled at anticipating needs while handling sensitive information with discretion. They thrive under pressure, adapt quickly to changing priorities, and represent the organization with confidence and professionalism when engaging with high-level contacts such as government officials or board members.
Key Responsibilities:
- Manage and maintain executive calendars and meeting schedules
- Coordinate logistics for meetings, events, and travel arrangements
- Prepare and organize materials for meetings and presentations
- Serve as a point of contact for internal teams and external stakeholders
- Handle confidential information with discretion and professionalism
- Anticipate needs and provide proactive support in a dynamic environment
Annual Salary Range: $65,000 - $80,000
Exact compensation may vary based on several factors, including skills, experience, and education.

Required Skills & Experience
- 5+ years providing direct support to C-suite executives or senior leadership in a highly complex and strategic environment
- Experience engaging with government officials, board members, or other high-profile stakeholders
- Proven ability to manage complex calendars, high-volume scheduling, and executive-level meetings
- Expertise in arranging domestic and international travel logistics
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms
- Strong written and verbal communication skills
- Highly professional, polished, and diplomatic presence
- Impeccable organizational skills and attention to detail
- Ability to handle confidential information with absolute discretion
- Experience preparing board materials or executive-level presentations
- Ability to anticipate needs and proactively resolve issues before they arise
- Flexible and adaptable to changing priorities and schedules, including occasional evening/weekend commitments and up to 25% travel
Nice to Have Skills & Experience
- Experience using Concur, or similar expense and invoice management systems
- Skilled in coordinating high-profile events and representing leadership externally
- Experience using Salesforce to input client information, update events, and pull reports
