Job Description
The Accounting Assistant is responsible for the day-to-day bookkeeping across the full portfolio of companies. This is a hands-on, high-volume role spanning the complete accounting cycle within a complex, multi-entity environment. The position requires independent judgment, strong organizational discipline, and the ability to manage competing priorities without close supervision.
Day to Day:
Accounts Payable
- Process, code, and enter vendor invoices across all entities
- Execute payment runs accurately and on schedule
- Maintain vendor records and documentation
Accounts Receivable & Invoicing
- Generate and distribute client invoices across multiple entities
- Monitor aging reports and conduct collections follow-up with clients and vendors
Bank Reconciliations
- Perform timely and accurate bank reconciliations for all entities
- Investigate and resolve discrepancies
Month-End Close
- Support month-end close activities under the direction of the Director of Finance
- Maintain organized, accurate financial records across all entities
Reporting & Special Projects
- Assist with ad-hoc financial reporting as requested
- Participate in special projects and process improvement initiatives

Required Skills & Experience
- 3–5 years of full-cycle bookkeeping or staff accounting experience
- Proficiency in QuickBooks Online
- Strong Microsoft Excel skills
- Demonstrated track record managing AP, AR, and reconciliations independently
Education
- Associate's or Bachelor's degree in Accounting preferred
- Equivalent work experience will be considered
Nice to Have Skills & Experience
Preferred
- Experience in a consulting firm, marketing agency, retail business, or property management environment
- Multi-entity or intercompany accounting experience
- Familiarity with or interest in incorporating AI tools into accounting workflows
- Interest in growing professionally and taking on expanded responsibility over time
