Job Description

Day-to-day:
Review and interpret sponsor funding opportunity announcements to identify applicable opportunities and confirm institutional alignment.
Thoroughly analyze sponsor guidelines and instructions—often extensive (up to 200+ pages)—to ensure full compliance with submission requirements.
Develop detailed proposal checklists outlining all required components, including narratives, biosketches, prior grant documentation, budgets, budget justifications, formatting requirements (font size, margins), and submission protocols.
Coordinate with departmental administrators and research teams to support proposal preparation and internal review processes.
Ensure proposals meet sponsor-specific requirements across the entire submission package, not just the narrative (e.g., NIH, NSF, and other federal sponsors).
Review proposals for compliance and completeness, focusing on sponsor rules and technical requirements rather than scientific content.
Validate budget allowability and restrictions, including limitations on equipment purchases, cost categories, lump sums, and funding caps.
Leverage research development expertise to help frame proposals in alignment with sponsor priorities and expectations.
Navigate and manage federal sponsor portals and submission systems accurately and efficiently.
Support post‑award activities, including award acceptance, review of terms and conditions, project administration support, and close‑out reporting.
Serve as a compliance and sponsor‑guidelines expert, ensuring no submission elements are missed and all sponsor requirements are fully addressed prior to submission.

Required Skills & Experience

o • Bachelor's Degree
• 1–3 years of experience in Research Administration, working in Higher Education, non-profit, or hospital settings with grants/sponsorships
• Experience writing grants/proposals, reviewing sponsor guidelines, developing the proposal, editing proposals to make sure it matches the government sponsors guidelines, creating budgets/budget narratives based on how to client is funding/their funding schedule for the sponsorship once it is awarded, as well as submitting proposals into several different portals (changes based on the client)
• Ability to read and review budgets, perform flight calculations, verify numbers, and complete Excel calculations
• Proficiency in MS Office (Excel, Word, PDF, Teams) and familiarity with Banner, Cayuse, Streamlyne, Kuali, or InfoEd

Nice to Have Skills & Experience

- CRA Certification
- Knowledge of federal, state, and university grant programs that support research, instruction, and public service across disciplines and their submission process
