Job Description

Insight Global is seeking an Administrative Coordinator for a leading pharma client in Westchester County, NY. This individual will support conference center operations by managing room bookings, coordinating approvals, and ensuring seamless meeting setups. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced, customer-facing environment. They will work closely with internal teams, facilities staff, and end users to ensure all meetings are properly scheduled, configured, and executed to a high standard. This is an ongoing contract position, onsite in Tarrytown, and has a pay range of 25-35$/hr.

Day-to-Day:
• Coordinate conference room bookings, approvals, and scheduling
• Manage room setups by working with Facilities Aides
• Partner with AV teams to ensure proper meeting configurations
• Maintain and update events calendar and room schedules
• Submit and manage TRIRIGA tickets
• Communicate with end users to ensure meetings are set up successfully
• Support Workplace Services team with administrative tasks as needed

Required Skills & Experience

• 3+ years of administrative or coordination experience
• Strong proficiency with Outlook and Excel
• Experience with heavy scheduling and calendar management
• Excellent communication skills (email, phone, and in-person)
• Strong organizational skills, professional demeanor with patience and customer service mindset

Nice to Have Skills & Experience

• Conference center or event coordination experience
• Experience working with AV teams or room setup logistics
• Exposure to TRIRIGA or ticketing systems
• Experience supporting facilities, real estate, or workplace services teams
