Job Description
Insight Global is seeking a Legal Executive Assistant to join a prestigious law firm client in NYC. This individual will be an integral member of the legal assistant group. In this role, the legal executive assistant will be provided extensive training and the opportunity for career growth.
Daily Responsibilities:
• Inbox and document management
o Compose, edit and proofread correspondence, presentations and other documents while demonstrating exceptional technological/document production skills.
o Ensure related documents and emails are stored in the appropriate iManage Workspaces.
• Calendar and Meeting Management
o Proactively coordinate internal/external meetings with limited direction. Arrange proper logistics based on meeting requirements (visitor offices, conference room, video conference and dial-in number, as appropriate), requiring meticulous attention to scheduling logistics and details.
o Manage multiple calendars and support scheduling requirements across multiple lawyers, clients, offices and time zones.
• Travel
o Apply best practices when arranging travel, utilizing agent assist and on-line tools appropriately and maintains up-to-date travel preferences (frequent flyers, Known Traveler Number, passport, etc.).
• Client Service – Relationship Management
o Provide superior client service with internal and external clients. Act as the gatekeeper prioritizing conflicting needs.
o Handle matters confidentially, expeditiously, proactively and independently and follows through on tasks until successful completion.
• Billing Management
o Efficiently reconcile and process expenses. Review inbox, diary entries, calendar and other items to classify business and personal expenses. Review Chrome River and American Express Card to allocate expense items. Obtain receipts from lawyer or other means if available. Collaborate with internal or external resources to address all outstanding Chrome River or AMEX items within payment window, running inquiries when necessary.
o Actively manage timekeepers’ diaries. Create draft entries based on knowledge of lawyer activity, review of inbox, diary entries or other knowledge. Edit and review entries to ensure conformity to best practices. Proactively manage lawyers to ensure entries meet submission deadlines. Obtain subject matter expert level knowledge of the billing process
• Project Management
o Proficiency in Excel for data tracking and reporting, supporting operational processes with accurate and timely information.
• Training & Development
o Participate in focus groups, lunch and learns, and other knowledge sharing activities including the mentor program, when necessary.
o Maintain subject matter level expertise in the Firm’s core applications and understands and adheres to best practices.
This is a full-time position, hybrid 4 days a week (Fridays work remotely) in NYC.
Compensation:
$115,000 to $125,000 per year annual salary.
This role is eligible for a discretionary bonus based on performance.

Required Skills & Experience
• At least 5 years of executive assistant experience within a large law firm or supporting the general counsel within a large professional services organization
• Experience coordinating domestic and international travel
• Proficiency in MS office (Word, Excel, Outlook, PowerPoint)
• Excellent attention to detail with strong organization and time management skills
• Strong communication and interpersonal skills
• Bachelor’s degree or equivalent professional experience
