Job Description
Insight Global is seeking an Executive Assistant to join a cutting edge Pharmaceutical/Biotechnology start up in the Purchase NY area. This EA will be a highly organized, proactive, and detail-oriented person to support our executive leadership team. This role provides high-level administrative and operational support, serving as a key partner to ensure senior leadership can focus on strategic priorities. The ideal candidate is a problem-solver who can work autonomously, manage priorities in a fast-paced environment, handle sensitive/confidential information, and maintain excellent communication with internal and external stakeholders.
RESPONSIBILITIES
- Manage and maintain complex calendars for the Chief Executive Officer, Chief Medical Officer, and Chief Financial Officer including scheduling meetings, appointments, and conflicts; prioritize and optimize time.
- Manage travel budget and coordinate domestic and international travel arrangements (flights, lodging, ground transport, itineraries), prepare expense reports, ensure cost-effectiveness.
- Review and edit correspondence, reports, presentations, Board of Directors materials, investor materials, and internal documents.
- Prepare agendas, materials and follow-ups for meetings (internal, board, investor, regulatory). May take minutes, track action items and ensure timely completion.
- Manage the relationship between Cognition and our external IT vendor to include onboarding and offboarding employees.
- Act as point of contact between executives and internal teams, external partners, investors, vendors, legal, regulatory bodies. Filter and route communications; escalate issues when appropriate.
- Maintain document management systems (both electronic and physical), ensure confidentiality and compliance with retention policies.
- Support governance / board requirements: scheduling board / shareholder meetings, maintaining board books, agendas, minutes, following regulatory or disclosure obligations as needed.
- Oversee or coordinate aspects of office operations such as ordering supplies.
- Facilitate internal communications / operational efficiency: helping to streamline workflows, improving processes, anticipating needs of executive leadership.

Required Skills & Experience
- 5+ years of executive support experience
- Strong PowerPoint skills - formatting, consistency, detail oriented
- Strong computer literacy – MS Suite (Outlook, Excel, Power Point), video conferencing tools (Zoom, Teams), document management (SharePoint, Documentation software, etc)
- Experience boooking corporate travel for executives
- Calendar Management
- Inbox management
- Comfortability with responsibilities evolving as the needs of the business change ad hoc
- Strong discretion and ability to handle confidential and sensitive information.
- Proactive, self-starter mindset; ability to anticipate needs, identify problems and propose practical solutions, follow through with minimal supervision.
Nice to Have Skills & Experience
- Familiarity with investor relations tools, board portals, or document control is a plus.
