Job Description

An international law firm is looking for 7 Billing Coordinators to join their Finance team. The Firm has more than 1,300 lawyers and has offices that span the globe from Boston, New York, Beijing, Brussels, Hong Kong, Houston, London, Los Angeles, Palo Alto, Sao Paulo, Tokyo and Washington, D.C. The Firm consistently ranks among the world's leading law firms. The Firm has the following practice areas: Corporate, Litigation, Banking & Credit, Capital Markets, Mergers & Acquisitions, Real Estate, Restructuring and Private Funds. They support clients in a variety of industries such as Energy (Oil & Gas, Power & Renewables), Financial Services, Healthcare & Life Sciences, Infrastructure, Technology, Insurance & Reinsurance, and Data Centers. This role will be 2 days onsite in NYC and the remaining remote, with the exception of the first two weeks of training which will be 4 days onsite.


The Billing Coordinator will be responsible for compiling, managing and executing billing for various attorneys. It is imperative they have strong customer service experience and direct experience interfacing with attorneys directly. This role is eligible for overtime during busy seasons. The ideal candidate for this will be able to adapt to a fast-paced environment and be able to organize and prioritize work activities.

Responsibilities
Compile and process a high volume of attorney bills to clients on a monthly basis
Review and edit pre-bills in response to attorney and secretary requests
Apply retainer/on-account funds as directed by attorney and as per Firm policy
Process write-offs following Firm policy
Execute complex bills, such as multiple discounts by matter, split party billing , and prepare electronic bills in a timely manner
Submit invoices electronically and assist in resolving issues that might arise
Review and verify accuracy of billing supporting documentation as required
Research and respond to internal and external inquiries regarding billing issues and problems in a timely manner
Identify and resolve billing inaccuracies
Create billing schedules and various other billing analyses as required
Effectively interact and communicate with attorneys, secretaries and clients
Distribute monthly partner reports
Review and update comments for reports distributed to the Finance Committee and Partners
Attend Partner meetings and weekly management meetings to review unbilled matter comments, matter on-accounts and e-Billing issues
Work cooperatively with Collections staff and assist with accounts receivable issues to minimize credit balances
Observe confidentiality of client and Firm matters
Provide backup assistance as needed
Assist with special projects as needed
Perform other duties as assigned

Salary Information
NY Only: The estimated base salary range for this position is $80,000 to $95,000 at the time of posting.
The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job. This role is non-exempt meaning it is overtime pay eligible.

Required Skills & Experience

- 1-2+ years of billing experience in an enterprise law firm required

- hands-on experience with legal billing software (Elite, 3E, Aderant etc)

- experience interfacing with attorneys directly and driving meetings

- Ability to use an accounting calculator

- Proficiency in MS Office Suite, particularly in Excel

- Flexibility to work additional hours as needed

- Minimum education: High School diploma or GED equivalent

Nice to Have Skills & Experience

- Bachelor's degree from four-year college or university, preferred, or, equivalent combination of education and experience
