The Facilities Assistant is responsible for performing maintenance work and office moves and set-ups, as directed by the Manager of Facilities. Performs daily floor inspections of 10 floors of office space totally nearly 500,000 square feet. Performs other duties as required with relation to the upkeep and functioning of the New York office. Daily duties include the below:
-Replace light bulbs and ceiling tiles. Hang pictures, as needed.
-Remove empty boxes from corridors and vacant secretarial stations.
-Break down boxes and leave in freight hall.
-Ensure that all unassigned areas are kept clean.
-Clean up spills or water from leaks.
-Move, unpack and assemble furniture.
-Install name signs to offices.
-Walk floors to remove marks on walls and doors.
-Check all restrooms and report necessary repairs to Facilities Manager.
-Clean out vacated offices, including desks and credenzas.
-Tag furniture for repair/cleaning.
-Replace chairs which have been removed from offices.
-Check freight areas for debris and consolidate into dumpsters whenever possible.
-Report to Facilities Manager when dumpsters are full so that they can be removed.
-Assist Partners who are moving by packing office contents.
-Maintain rooms in a clean and safe condition.
-Clean, dust and vacuum partner offices when occupants are on vacation or out of the office for an extended period of time.
-Break down boxes in C-3 after shredding.
-Bring to the attention of the Facilities Manager all maintenance-related issues.
-Develop and maintain professional and cooperative working relationships with all staff and attorneys.
-Participate in yearly goal setting with Manager.
-Meet or exceed yearly goals, seeking managerial guidance and support as necessary.
-Have a thorough knowledge of departmental and Firm procedures.
-Follow all policies and guidelines.
-Assist with special projects upon request.
-Report to Facilities Manager upon completion of assigned tasks.
-Regular attendance is required. Must be flexible with shift hours and timing of meal and rest breaks, in accordance with workload.

-Previous facilities and/or office management experience.
-A high school diploma or GED is required.
-Must be organized, detail-oriented and follow through projects to completion.
-Must practice excellent customer service.
-Display strong interpersonal and communication skills (both written and oral), to plan, schedule and complete projects and effectively communicate with all levels of attorneys and staff.
-Must be able to work with minimal supervision & must work well in a team environment.
-Experience with Windows and Microsoft Word software is beneficial.
-Must be able to work evenings and weekends, when required.
-Able to use the telephone, PC and, when necessary, make copies or send faxes from a convenience machine, walk around the floors which involves the use of staircases; lift and move desks, file cabinets and other office fixtures, push or pull be able to bend and/or stretch to reach files or supply cabinets, and lift and/or carry boxes up to 45 lbs.
