Job Description

We are in search of an Project Management Assistant with excellent communication skills and an upbeat attitude with a genuine desire to meet the needs of others. You will have an opportunity to play a key role in streamlining our company's workflow as the link between various departments, employees, and vendors. You will be responsible for maintaining an organized front office, performing administrative and project support duties, and assisting employees as needed. In this role you should be prepared, accountable for assigned tasks, responsive and willing to tackle challenges directly.



Your responsibilities will include:

· Front desk responsibilities: greet incoming visitors, process incoming/outgoing mail and packages, answer main number phone calls

· Administrative: generate expense reports, manage multiple calendars, order supplies, and assist with accounts payables processing

· Project management administrative support: project initiation forms, subcontractor package compilation, requisitions, subcontractor PO tracking and payment support and tracking

· Track monthly invoicing requirements for office (and coordinate with staff), provide word processing and graphics support for document formatting, editing and production

· Plan, schedule and coordinate webcasts and teleconferences as well as onsite meetings and luncheons.

Required Skills & Experience

* 3+ years of administrative/clerical, office management or marketing experience

* Project coordinator experience including the following:

Contract reviews

Budget spread sheets

Tracking monthly invoices

Scheduling project staff and coordinating calendars

Bookkeeping background

Proficient in MS Office Suite, including Word, Excel and Outlook; Proficient in Adobe PDF

Nice to Have Skills & Experience

* Bachelor's degree or Associate degree with equivalent work experience

* Knowledge of desktop publishing software such as InDesign preferred

* Experience in the environmental and/or engineering consulting industry preferred

* Knowledge of graphic software
