Job Description

A client of Insight Global is seeking a Senior Executive Assistant to support senior leadership, including close partnership with executive stakeholders and the comptroller. This is a hands-on, operationally focused EA role that blends traditional executive support with exposure to real estate operations, lease administration, finance coordination, and vendor management.
The ideal candidate is detail-oriented, resourceful, and comfortable operating across multiple functions in a fast-paced commercial real estate environment.

Key Responsibilities
Executive & Administrative Support
• Provide day-to-day support to senior leadership, including calendar management, meeting coordination, and general administrative needs
• Serve as a liaison between executives and internal/external stakeholders
• Assist in preparing documents, reports, and communications
Real Estate & Lease Administration Support
• Support lease processing and lease administration activities
• Assist with tracking agreements, documentation, and key deadlines
• Maintain organized digital records (99% electronic filing environment)
Financial & Operational Coordination
• Partner closely with the comptroller on administrative and coordination tasks
• Coordinate with external accountants on documentation and reporting needs
• Assist with vendor communications, including lenders and service providers
Vendor & Broker Coordination
• Work with insurance brokers on policy documentation, renewals, and filings
• Assist with healthcare plan coordination, including scheduling meetings with external benefits brokers
• Track deliverables and ensure timely communication across all third-party partners
General Office & Project Support
• Help manage ongoing operational priorities tied to the Port Newark portfolio
• Coordinate meetings, logistics, and cross-functional communication
• Support ad hoc projects across leadership and operations teams

Onsite, 5 days/week (8am-4:30pm)

Compensation:
$75,000 to $85,000 per year annual salary.
Exact compensation may vary based on several factors, including skills, experience, and education.

Required Skills & Experience

• 10+ years of experience in an Executive Assistant or senior administrative role
• Prior experience in commercial real estate, property management, or a related industry strongly preferred
• Experience supporting finance, accounting, or operations teams is a plus
• Strong organizational skills with the ability to manage multiple priorities simultaneously
• High level of attention to detail, especially with documentation and recordkeeping
• Comfortable working with external vendors, brokers, and professional service partners
• Proficiency in Microsoft Office Suite (especially Outlook, Excel, and Word)
• Strong communication skills and ability to operate with professionalism and discretion
