Insight Global is looking to add an IT Executive Assistant to our client's team in the St. Louis, MO area. This individual will be responsible for providing administrative and project management support to the Executive Director, along with support for other Directors, Assistant Directors and Board of Directors along with screening incoming calls and correspondence, composing and preparing confidential correspondence, reports, and other complex documents as well as creating and maintaining database and spreadsheet files, preparing invoices, reports, letters, financial statements and other documents, using word processing, spreadsheet, database, and/or presentation software. This individual will also order supplies, maintain records management systems, and perform basic bookkeeping work. Scheduling is a major componenet of this role, specifically scheduling/planning the Executive Director's calendar and independently schedule appointments and arrange programs, events, or conferences by arranging facilities and catering. This person will issue information or invitations, coordinate speakers, and control event budget, arrange complex and detailed travel plans and itineraries, compile documents for travel-related meetings as well as assist in the development and production of weekly/monthly/yearly reports and board quarterly reports and schedule and organize meetings of the Board and Board Committees, including planning for the annual Board retreat. This role requires reviewing, sorting and filing a variety of confidential material. This is a hybrid roe, 3-4 times on site a week.
Required Skills & Experience
5+ years of clerical administrative experience preferably for executive level staff
Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
Knowledge of Microsoft Office programs, including Word, Excel and PowerPoint
Demonstrated analytical skills, organizational and time management skills
Demonstrates initiative with a high degree of professionalism, confidentiality, and a positive attitude
Strong communication skills
