Job Description

Insight Global is seeking an Executive Assistant to support a C-suite leader for a non-profit healthcare improvement client of ours. This role will be hybrid remote in Boston, MA.
The ideal candidate is a detailed Executive Assistant who thrives in a fast-paced, constantly changing environment. This individual will be responsible for managing an executive's complex calendar, coordinating domestic and international travel, supporting board activities, and anticipating needs before they arise. The successful candidate will be tech-savvy, adaptable, and excited about leveraging AI tools such as Microsoft Copilot to improve efficiency and productivity.
Key Responsibilities:
Executive Support:
- Provide high-level administrative support to the CFOO and other executive leaders as needed.
- Manage a heavy and highly dynamic Outlook calendar, often involving last-minute meeting requests, schedule changes, and shifting priorities.
- Proactively anticipate scheduling conflicts, protect executive time, and identify solutions before issues arise.
- Coordinate meeting logistics, prepare materials, track action items, and support executive follow-up activities.
- Assist with special projects, operational initiatives, and occasional finance-related administrative support, including spreadsheet management.
Travel & Expense Management
- Coordinate complex domestic and international travel arrangements, detailed itineraries, and travel logistics (visa requirements, etc.)
- Manage executive expense reporting and reimbursements through Concur.
Ad-Hoc Responsibilities:
- Serve as an administrative liaison between executive leadership and the Certification Board.
- Coordinate scheduling, meeting logistics, meeting materials, and note-taking for approximately four Certification Board meetings annually.
- Provide periodic in-office support in Boston, including meeting coordination, mail handling, document management, and administrative tasks.
- Support executive team meetings, leadership retreats, board meetings, and organizational events.

Required Skills & Experience

- 4+ years of Executive Assistant experience supporting VP-level leaders, senior executives, or C-suite executives.
- Advanced Outlook calendaring experience, including managing complex schedules across multiple time zones.
- Experience coordinating domestic and international travel arrangements.
- Proficiency with Microsoft Office Suite and modern workplace technology (ideally experience with AI tools)
- Experience using Concur or similar platform for travel and expense management.
- Ability to have a flexible schedule/be in office within a 24 hour notice

Nice to Have Skills & Experience

- Bachelor’s degree in administration or related field
- Financial background or experience in financial industry
- Notary Public Certification or ability to obtain
- Experience nonprofit or healthcare industries
