Job Description
We are seeking a motivated, coachable rising star to join our team as an Executive Assistant / Office Manager. This on-site role combines high-level administrative support with hands-on office management and payroll coordination. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced environment supporting both internal staff and external contractors.
Key Responsibilities:
Administrative & Executive Support
• Provide direct support to leadership, including calendar management, meeting coordination, and communications.
• Handle sensitive documents and contracts with discretion and accuracy.
• Maintain and update CRM systems with relevant contact and project data.
Office Management
• Oversee day-to-day office operations, including supplies, vendor coordination, and workspace organization.
• Serve as the point of contact for internal teams and external partners.
Payroll & Timesheet Coordination
• Manage timesheets for 80–90 staff and contractors across multiple projects.
• Maintain a master Excel sheet and submit accurate data to the payroll/factor company.
• Liaise with payroll providers to ensure timely and correct payments.

Required Skills & Experience
• 3+ years of experience providing executive support to C-Suite individuals.
• Experience reviewing and processing contracts such as MSAs, employment agreements etc.
• Experience handling payroll and timesheets for employees/contractors.
• Comfortable with general office management responsibilities.
• Proficiency in Excel.
• Ability to work on-site 5 days a week.
Nice to Have Skills & Experience
• Experience in the Bio Tech/Pharma industry.
• Exposure to professional services and consulting.
