Job Description
This project is a large-scale records transportation, inventory management, and digitization initiative focused on collecting, tracking, and processing physical documents from approximately 150 locations across the country.
The effort begins with a nationwide discovery and site assessment phase, during which site survey teams will evaluate each location's document volumes, storage conditions, transportation requirements, staffing needs, and pickup logistics. Information gathered during discovery will be used to develop a comprehensive transportation and operational strategy, including scheduling pickups, allocating resources, coordinating logistics teams, and managing the movement of records into short-term and long-term storage facilities.
The project requires extensive coordination across customer stakeholders, logistics teams, operational leaders, and support personnel to ensure activities remain aligned and on schedule. As records are collected and inventoried, the program will leverage tracking, reporting, and analytics tools to monitor inventory, operational performance, and project progress. Following the discovery and transportation phases, the initiative will support a broader document digitization effort aimed at converting millions of physical records into searchable digital assets leveraging IBML and Tungsten while improving long-term operational efficiency, visibility, and records management capabilities.
The Project Manager will review site assessments and questionnaires to determine staffing needs, transportation requirements, pallet volumes, and operational readiness while serving as the primary point of coordination between customer locations, internal teams, and project stakeholders. This individual will work closely with the BA, Data Analyst and Executive Admin to ensure successful delivery of a high-visibility and rapidly growing program.
• Manage project execution from cradle to grave
• Coordinate pickup schedules, transportation, trucking, and logistics
• Communicate with 150 site points of contact nationwide
• Coordinate internal logistics teams and administrative support
• Track project progress and reporting in Microsoft tools
• Potential travel to sites as needed (not expected to be extensive)
• Experience analyzing operational data and making resource recommendations

Required Skills & Experience
Must Haves:
• At least 4+ Project Management/Coordination experience
• Proficiency with MS Project, Visio and Sharepoint for project tracking
• Strong stakeholder communication and customer-facing experience
* Ability to own a project from planning through execution with minimal oversight
Nice to Have Skills & Experience
• Experience coordinating nationwide field operations is a plus
• Logistics, warehouse, supply chain, transportation, or operations experience preferred
