Job Description
An Indigenous‑women led nonprofit organization is seeking an Administrative Operations Assistant to support day‑to‑day organizational and office operations. This person will partner closely with operations leadership, internal staff, and community partners to ensure smooth coordination across administrative, communication, and office functions.
This role is ideal for someone who is highly organized, detail oriented, and comfortable supporting multiple workstreams in a small, mission driven environment.
Responsibilities
Support daily administrative and operational tasks across the organization
Manage scheduling, calendars, and internal communications
Monitor shared inboxes, voicemails, and general inquiries
Prepare and distribute meeting agendas, notes, and internal updates
Maintain organized digital files, records, and documentation
Assist with contract routing, vendor coordination, and compliance materials
Order office supplies, equipment, meals, and materials for meetings and events
Support onboarding logistics for new hires including equipment setup
Coordinate travel bookings, training registrations, and expense documentation
Provide basic troubleshooting for office equipment and devices
Assist with community events, meetings, and outreach activities
Communicate updates and needs to leadership and internal teams

Required Skills & Experience
Required Qualifications
High school diploma or GED
Two or more years of administrative experience
Experience working with community based or nonprofit organizations
Strong organizational and time management skills
Clear written and verbal communication skills
Ability to work independently and manage competing priorities
Comfort handling sensitive and confidential information
Proficiency with Google Workspace and Microsoft Office
Nice to Have Skills & Experience
Preferred Qualifications
Nonprofit operations or program support experience
Familiarity with Los Angeles County community resources
Experience supporting leadership teams
Comfort working in hybrid and flexible work environments
