Job Description

The Patient Access Representative greets, instructs, directs, and schedules patients and
visitors while serving as a liaison between patients and medical support staff. This role supports
clinic operations by maintaining accurate records, assisting staff, and providing excellent
customer service in alignment with organizational policies.

Primary Responsibilities
• Greeting patients and visitors in a prompt, courteous, and helpful manner
• Answer telephone calls courteously and route them appropriately
• Check in patients and verify/update information in the medical record
• Maintain/Schedule appointments according to clinic policies
• Maintain patient confidentiality
• Attend required meetings and participate in committees when requested
• Collect payments, post receipts, prepare deposits and complete daily balancing
• Process medical record requests using proper release guidelines
• Scan documents into the electronic medical record as required
• Assist with registration for all Patient Access areas when needed
• Prepare charts for outside clinic visits when needed
• Prepare monthly patient registration schedule
• Assist with in-services for registration staff
• Complete annual education requirements
• Follow dress code and maintain a clean, professional appearance
• Adhere to ethical business practices and hospital policies
• Maintain confidentiality of patients and employees
• Report to work on time and complete tasks as scheduled
• Wear identification badge and use timekeeping system properly
• Representing the organization positively and professionally
• Support culture improvement efforts for customer and employee satisfaction
• Provide service excellence to patients and coworkers
• Perform other duties as assigned

Required Skills & Experience

Experience
• Experience in a medical office or customer service environment preferred
• Knowledge of business office procedures and medical record handling helpful
• Experience with EMR (Cerner ideally)
