Job Description

Insight Global is seeking to hire a temporary Admin Assistant to join a school system in Chicago, IL to support the overall office management system for the organization. The Administrative Assistant provides essential administrative support within a school, managing office systems and procedures.

This is a 6 week contract temporary opportunity working onsite 5 days a week within a school, M-F from 7:30am - 3:30pm CST.

This position will include answering and directing calls, maintaining inventory, placing supply orders, and overseeing equipment maintenance. The role involves developing efficient workflows, revising administrative systems, and managing filing systems. The Assistant handles clerical duties like photocopying, mailing, and responding to inquiries, while also preparing and modifying documents. Additionally, the position involves scheduling meetings, coordinating appointments and travel, and preparing agendas and minutes for meetings.

Responsibilities include:
-Answers, screens and transfers inbound calls.
-Receives and directs staff, students, and visitors.
-Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
-Maintains workflow by implementing cost reductions and developing reporting procedures.
-Creates and revises systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements.
-Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
-Creates and maintains an electronic and hard copy filing system and handles requests for information and data.
-Performs general clerical duties including photocopying, fax and mailing.
-Resolves administrative problems and inquiries and prepares written responses to routine enquiries.
-Prepares and modifies documents including correspondence, reports, drafts, memos and emails.
-Schedules and coordinates meetings, appointments and travel arrangements.
-Prepares agendas for meetings and prepares schedules.
-Records, compiles, transcribes and distributes minutes of meetings.
-Other duties as assigned.

Required Skills & Experience

-Must have an Associates degree; Bachelors degree is preferred
-Must have 3+ years of experience in an administrative support or office managerial position
-Must have computer literacy
-Must be comfortable working in a school / children focused environment
