Job Description
This company is a leading veterinary management organization looking to hire a Payroll Managaer/Analyst. Their hospitals are a premier destination for high-quality, full-service healthcare for pets. They will be gaining their Series C funding this summer and are growing rapidly in multiple markets nationally. They have 20 locations today and will have 40 locations by 2024. This company is tripling in size, so they are working in a high growth, fast paced environment. They currently have 200 employees at the company. They need a Payroll Admin to run the entire payroll process alongside the HR department. They will report to the Head of People and need to be a self starter, and own these processes. If they encounter a problem, they need to go to the Head of People with a solution in mind and require little hand holding.
This person will be processing payroll, providing technical support for Human Resources, supporting process improvement for Human Resources, developing automated payroll processes, increasing payroll functionality, preparing monthly reports, developing and maintaining proper control over the payroll function, preparing monthly payroll accrual, and assisting with general accounting tasks as needed. A cherry on top would be someone who understood (or wanted to learn) regulatory standards to ensure governance and compliance. Down the road, if the company ever transitioned out of Paycor into a new HRIS, this person could be a great resource in setting up a new platform as well
Some additional granular responsibilities would be:
* Ensure payroll is processed timely and accurately
* Entering payroll changes weekly not processed through self-service
* Auditing the payroll register to ensure changes were made and payroll is accurate
* Provide support in developing and maintaining electronic employee files including audits as needed
* Leads annual benefit and compliance reporting and audit processes including 401k audit, workers compensation audit, 1099 review, etc
* Processes weekly 401k contribution upload and reconciles payroll and 401k data until we have a better integrated approach with Paycor
* Manages all garnishments, deductions, and Paid Time Off (PTO) balances in Paycor
* Owns state required reporting requests as it pertains to payroll
* Owns payroll tax ID application process to ensure compliance
* Extracting data (one off bonus payments, expense reimbursements that need to be tracked, manually enter into their system).
* Many of the employees are paid hourly, so making sure that the hours pull through the payroll system, spot check the data for accuracy such as OT, clicking the actual button to run payroll.
Challenges they will face in the role:
- Tons of changes to payroll every pay period, having to track a ton manually so attention to detail is extremely important,
- Benefits, deductions has to be entered in manually
Required Skills & Experience
3-5 years of payroll experience
Bachelor's degree
Local to Chicago (must come on site to downtown Chicago Tues, Weds, Thurs, remote Mon and Fri)
Someone who can run payroll end to end
EXTREMELY detail oriented
Experience coming from an established high growth or large enterprise environment
Someone who came from 200-500 employee volume
Someone who has been in a strong payroll environment who and can offer suggestions around process improvement, but who can also adhere to the process in place
100% execution based role
Customer service skills extremely important
Ability to help problem solve when needed
Strong excel skills: pivot tables, formulas, etc.
Numbers focused, strong in math skills
