The Executive Operations Manager manages the day-to-day operations and communication for the office of the Chairman. You will also lead the administrative team, maintaining a high level of professionalism and organization. You will handle client and stakeholder communication and need to have a keen eye for detail and strong written and spoken English language skills.
Responsibilities:
Managing key external stakeholders and relationship management of the Chairmans office.
Handling correspondence, managing a heavy inbox, and responding to meetings and requests on executive leaders behalf.
Coordinating office management to ensure seamless professional and personal support
Strategically managing the leaders time: working with an assistant, looking at long-term calendar, evaluating opportunities, and determining fit with priorities.
Meeting preparation and follow-up: reviewing upcoming meetings for the week to ensure the leadership team has all the information needed to be as productive as possible and sending out agendas or documents to meet attendees as necessary.
Reviewing Internal and External Communications: drafting company newsletters, reports, pitch decks, speeches, or presentations.
Monitoring information flow: Sometimes acting as a gatekeeper, ensuring the leader and their teams involvement in a project or decision-making process at the right moment.
Should be able to learn and be able to speak on behalf of the Chairman in certain situations.
Manage a team of 1-2 other team members.
Assist with projects, travel arrangements, event planning and various initiatives as needed.
