Our team is dedicated to advancing the Video Networking business within the Media and
Entertainment sector. We are seeking a detail-oriented, sharp, and seasoned Executive Assistant
who is at the top of their game and possesses a true EA mindset. The ideal candidate will not only
excel in providing high-level administrative support but will also positively demonstrate
assertiveness, asking questions, and pushing for more information when necessary. Additionally,
they will anticipate the needs of the business and be proactive in addressing them, demonstrating
forward-thinking and initiative. They should form a true business partnership with their executives
and be unphased by challenges, watchful of details, and adept at double-checking to ensure
accuracy in all tasks. This role will be a hybrid-working model whereby working at our Lawrenceville office 3 days out of the week is required.
Responsibilities
* Managing executive schedules, travel arrangements, and expenses seamlessly while
accommodating worldwide time zones with precision
* Preparing detailed itineraries/agendas and comprehensive Excel sheets outlining travel
details or event logistics on a global scale i.e. budget tracking, room reservations, catering
orders, etc.
* Collaborating with global sales teams to provide necessary support and documentation
for client meetings and guest registrations
* Supporting various in-person and remote meetings, including town halls, customer
meetings, training sessions, sales kick-offs, QBRs, etc.
* Assisting the leadership team with fact-gathering research via advanced search
techniques
* Providing guidance to the Video Network team on Visas, policies, procedures, and training
as needed
* Managing incoming and outgoing shipments at the Lawrenceville office and monitoring
office supplies as needed
* Serving as a backup for other admins during their absence
