Job Description

The Capacity Analyst is responsible for designing, maintaining, and optimizing ambulatory provider scheduling templates across the enterprise. This role partners closely with Capacity Management, patient access leadership, clinical leaders, and providers to improve patient access, provider utilization, and overall operational efficiency. By leveraging Epic scheduling tools and access data analytics, the Capacity Analyst drives improvements that enhance both provider productivity and the patient experience.
Scheduling & Template Management

Design, monitor, and maintain ambulatory provider scheduling templates in alignment with enterprise standards
Ensure high-quality scheduling infrastructure, including visit types, appointment slot designations, and decision tree tools
Analyze and validate scheduling templates for accuracy, appropriateness, and readiness prior to release

Capacity Optimization & Analytics

Review provider schedules and utilization data to identify opportunities to improve access and productivity
Use Epic reporting tools, Template Advisor, and Access Data Analytics to conduct quality assurance and performance reviews
Apply performance improvement recommendations based on access and utilization metrics

Collaboration & Stakeholder Support

Partner with Capacity Management, patient access teams, clinical and operational leadership, and providers to remove barriers to patient access
Serve as a subject matter expert for scheduling, template design, and access optimization for assigned departments or specialties
Facilitate provider onboarding by configuring scheduling applications in Epic, including visit types, durations, locations, and templates

Policy, Compliance & Governance

Assist in developing and communicating policies and procedures related to scheduling and provider templates
Ensure all scheduling builds comply with organizational standards, guidelines, and departmental policies
Escalate unresolved issues or negotiations to leadership when necessary

Auditing, Reporting & Tools Maintenance

Conduct audits and reviews of scheduling infrastructure, including templates and decision trees
Maintain and update team tools such as dashboards, template libraries, and SharePoint resources
Provide investigative findings and reporting insights to support decision-making

Required Skills & Experience

Bachelor's Degree
Cert: EPIC Cadence and Prelude
4+ years of Experience working within Provider Utilization
2+ years of experience in hospital/medical operations related to patient access and clinical systems
1+ year of experience in epic decision tree, cadence, prelude
1+ year of template build experience
