Job Description
The Preconstruction Administrator supports our client by coordinating essential administrative functions throughout the preconstruction lifecycle. This role ensures smooth communication between internal teams and external partners, maintains organized documentation, and facilitates compliance and reporting. With a proactive mindset and strong attention to detail, the Administrator plays a key role in delivering efficient and accurate support to the Preconstruction and Leadership teams.
Responsibilities:
- Consistently monitor the Preconstruction email inbox and maintain organized project documentation in the S:Drive filing system.
- Assist with Owner contract review, negotiation, execution, and proper filing.
- Collect, organize, and save subcontractor bids, drawings, and specifications.
- Add subcontractors to bid lists using appropriate software(s).
- Assist with setting up project numbers and folders.
- Add awarded trade partners and external contacts to project directories.
- Order, executed, and record Payment & Performance bonds using Simplifile; distribute to project teams and Owner representatives.
- Track, renew, and order LBTR and contractor registrations across all jurisdictions and maintain records of insurance, Builder’s Risk, and bonds.
- Place legal advertisements for each GMP in appropriate city publication(s).
- Assist with the preparation and submission of Preconstruction Billings (Pay Applications).
- Set up Building Connected for bidding phases, create bid packages, invite bidders, and schedule bid day meetings.
- Create enumerations of documents for contracts and deliverables.
- Provide general support to Preconstruction team members as needed.

Required Skills & Experience
- 2-4 years of experience in construction administration or preconstruction coordination.
- Familiarity with Vista, Procore, Building Connected, and Bluebeam.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office Suite.
- Excellent communication and interpersonal abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- High level of discretion and professionalism.
