Job Description

Our client in the surveying industry is seeking a highly organized and proactive Administrative Assistant to join our team. The ideal candidate will provide administrative support to our engineering team, ensuring smooth day-to-day operations and contributing to the overall success of the firm.



Responsibilities:

- Manage and organize office operations, including filing systems, scheduling meetings, and handling correspondence.

- Process payroll accurately and on time for all employees using payroll software.

- Maintain and update employee records, including salary adjustments, benefits, and tax information.

- Assist in preparing and distributing pay stubs, tax forms, and other payroll-related documents.

- Handle inquiries and resolve issues related to payroll, benefits, and deductions.

- Coordinate travel arrangements and accommodations for team members.

- Maintain office supplies inventory and place orders as needed.

-Prepare and send invoices to clients for services rendered, monitor receivables, and follow up on overdue payments.

- Handle incoming calls and emails, directing them to the appropriate staff members.

Required Skills & Experience

- Proven experience as an administrative assistant or in a similar role.

- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

- Ability to learn new accounting software

- Strong organizational and multitasking skills with keen attention to detail.

- Excellent written and verbal communication skills.

- Ability to work independently and collaboratively in a team environment.

Nice to Have Skills & Experience

- Invoicing and payroll experience
