Job Description
* Anticipates the needs of both internal and external clients, responds to expectations, and adds value by ensuring that the client experiences the highest quality of service at all times.
* Foster open and frequent communication with teammates to ensure smooth and expeditious support to assigned attorneys. Cross-trains teammates ensuring same first-class service while away or out of the office.
* Demonstrates general knowledge of assignment's work habits and preferences.
* Provide walk-up, just-in-time support for requests and guidance including coordination and assistance with technical support.
* Conducts rounds on the floors on a regular basis to encourage and educate new associates to the firm on the resources available to them through their LEAs and where to go to get the administrative assistance they need to grow in their career.
* Recognizes the importance of working as part of a team, promotes team spirit both within own group and firmwide. Willingly assists other team members and shares knowledge.
* Attends regular in-office huddles to discuss upcoming business objectives, learning opportunities and to promote teamwork; to ensure coverage, these are held in a community area on their floor with their colleagues.
* Efficiently reconciles and processes expenses following the firm's approved procedures. Reviews Chrome River and American Express Card to allocate expense items. Obtains receipts from attorney or other means if available. Collaborates with internal or external resources to address all outstanding Chrome River or AMEX items within payment window, running inquiries when necessary.
* Enters time and reviews entries to ensure conformity to best practices when requested. Transfers time as required.
* Proactively manages opening new clients and matters, conflict checks and drafts/amends engagement letters.
* Edits and proofreads correspondence, presentations, and other documents. Demonstrates strong technological/document production skills.
* Applies best practice when arranging travel, utilizing agent assist and on-line tools appropriately. Maintains up-to-date travel preferences (frequent flyers, KTN, passport, etc.).
* Proactively collaborates with attorneys to delegate non-billable tasks to their LEA and actively solicits administrative work allowing the attorney to focus on legal work and engage in their practice. Tasks include, but are not limited to, printing, scanning, copying/binding, filing, notary services, document preparation and package shipment.
* Demonstrates proficiency with Microsoft Outlook. Utilizes creative problem-solving skills to solve challenging scheduling requirements.
* Assist attorneys with maximizing the efficiency and effectiveness of filing supported by the firm's electronic filing system, ensuring that all client files, whether electronic or hard copy, are kept complete and up to date
Required Skills & Experience
* College degree or equivalent work experience in a legal or customer service capacity.
* 1-2 years of experience in a professional services industry
