Job Description

Insight Global is seeking out an Administrative Assistant to support the Compliance/Legal Department for a private investment firm in Stamford, CT. This individual will be joining the Legal and Compliance division compromised of 43 individuals ranging from attorneys, directors, managers, and analysts. This department is responsible to ensure the overarching investment firm is up on all current industry compliance regulations and requirements. This individual will be supporting and reporting to 3 attorneys and assisting with reporting, contracts, deadlines, and a variety of administrative tasks. During the initial stages of the contract, this person will be heavily involved in the backlog of employee statements that are required to be organized, scanned, and filed. They will be responsible for tracking the submissions of statements for each employee and the communication to these stakeholders for the completion of the statements. On a day to day, this person will be spending 25% of their time handling all daily, weekly, monthly, and quarterly reports and ensuring they are run, reviewed, signed off on, and accurate. This administrative assistant will be responsible for examining and double checking all employee trades made each day. 25% is spent handling and tracking employee statements and certifications, 25% spent managing, maintaining, tracking deadlines of the department's larger calendar. One example of managing the larger calendar is reviewing the calendar and noticing an attorney has a deadline to meet and another attorney has an additional deadline to hit. They will then be responsible for staying on top of each stakeholder, sending out weekly reminders, and ensuring they hit every deadline. The remaining 25% of their day will be spent handling ad hoc tasks such as proofreading, scanning, copying, filing, printing, merging spreadsheets, etc. This individual must have strong interpersonal and communication skills as they will be assisting all employees within the department. They will need to flexible with the ability to jump from task to task and handle all tasks based off prioritization.

Required Skills & Experience

3+ years in an admin role within a compliance/legal department

Proficient within MS Office (Excel, Outlook, PowerPoint, etc.)

Experience running weekly, monthly, & quarterly reports

Strong organization, prioritization, interpersonal, and communication skills

Bachelor's Degree within a related field

Nice to Have Skills & Experience

Experience working in an investment advisory firm or broker dealer.
