Job Description

One of our large customers is looking to hire a Sr. Executive Assistant to support their Litigation Counsel department. This individual will play a critical role in managing daily operations, coordinating schedules, facilitating communication, and ensuring organizational efficiency. The ideal candidate thrives in a fast-paced environment, demonstrates exceptional attention to detail, and can manage competing priorities with professionalism and discretion.

Manage complex calendars, schedules, and meeting coordination for executives.
Coordinate domestic and international travel arrangements, including itineraries, accommodations, and expense reporting.
Prepare presentations, reports, meeting materials, and executive correspondence.
Serve as a point of contact between executives and internal/external stakeholders.
Organize and maintain files, records, and documentation in both digital and physical formats.
Track action items, deadlines, and follow-up activities to ensure timely completion.
Coordinate team meetings, leadership meetings, and special events.
Take meeting notes and distribute summaries and action items as needed.
Handle confidential and sensitive information with the highest level of professionalism.
Support budget tracking, invoice processing, and other administrative functions.
Assist with project coordination and special initiatives across departments.
Identify and implement process improvements to increase efficiency and organization.

Required Skills & Experience

Bachelor's degree preferred or equivalent work experience.
3+ years of experience supporting senior executives or leadership teams.
Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Ability to prioritize multiple tasks in a fast-paced environment.

Nice to Have Skills & Experience

Experience supporting C-level executives, vice presidents, or senior leadership teams.
Experience coordinating cross-functional projects and initiatives.
Familiarity with expense management and travel booking platforms.
