Job Description

AMPAM Parks Mechanical is seeking a detail-oriented Purchasing Coordinator to support its multifamily residential service and maintenance operations. This individual will be responsible for sourcing and purchasing materials, submitting and managing purchase orders, coordinating with vendors and suppliers, and ensuring accurate and timely delivery of materials needed to support MEP (Mechanical, Electrical, and Plumbing) service activities.
The Procurement Specialist will act as a key liaison between field operations, service managers, and suppliers to ensure technicians have the necessary materials and equipment to complete service, repair, and maintenance work efficiently. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities Include: (But not limited to the following)
 Coordinate the procurement of materials, equipment, and services in accordance with company policies and procedures.
 Issue and manage purchase orders, track deliveries, and ensure the timely receipt of materials.
 Communicate with vendors to obtain pricing, negotiate terms, and coordinate delivery schedules.
 Maintain accurate purchasing records and update procurement data within internal systems, including ERP and Service Titan.
 Monitor inventory levels and place orders to maintain adequate stock.
 Resolve purchasing issues, including delivery delays, pricing discrepancies, backorders, and damaged materials.
 Collaborate with finance, operations, and field teams to forecast purchasing needs and support project schedules.
 Assist with vendor evaluations and maintain approved supplier and subcontractor records.
 Ensure compliance with company policies, contractual requirements, and applicable industry regulations.
 Assist in preparing technician estimates, customer quotes, and pricing for service work.
 Perform daily data entry and administrative tasks within Service Titan for HVAC & Plumbing price books.
 Coordinate with technicians, vendors, subcontractors, and internal departments to support daily service operations and ensure timely job completion.

Required Skills & Experience

• 2+ years of experience in procurement, purchasing, material coordination, supply chain, or a related field.
• Experience in the construction, MEP, HVAC, plumbing, electrical, facilities maintenance, or building services industries.
• Experience creating, processing, and managing purchase orders.
• Strong organizational and time management skills with the ability to handle multiple priorities.
• Excellent attention to detail and commitment to accuracy.
• Strong verbal and written communication skills.
• Experience coordinating with vendors, suppliers, and internal operations teams.
• Proficiency in Microsoft Office Suite, particularly Excel and Outlook.
• Ability to work in a fast-paced service or operations environment.
• High School Diploma or equivalent.
Ability to work on-site in Wilmington, CA.

Nice to Have Skills & Experience

• Familiarity with materials, equipment, and components used in multifamily residential maintenance and service operations.
• Experience using ERP, procurement, inventory management, or purchasing software systems.
• Knowledge of vendor sourcing, supplier relationship management, and cost-control practices.
• Experience supporting service teams, technicians, or field operations.
• Associate's or Bachelor's degree in Supply Chain Management, Business Administration, or a related field.
• Understanding of inventory management and material planning processes.
