Job Description

The Business Associate 2 (BA2) will support a focused, time-bound initiative to eliminate backlogs across legal authorization document processing (POA, Conservatorship, Guardianship) and Document Services operations. This role is responsible for reviewing, validating, processing, and completing high volumes of sensitive and compliance-driven work within defined timelines. Working as part of a dedicated backlog remediation team, the BA2 will ensure documents are accurately reviewed, properly imaged, and fully resolved in internal systems, contributing to improved processing timelines, reduced risk, and enhanced member experience. The Business Associate 2 will support both PCG legal document processing and Document Services operations by reviewing and validating Powers of Attorney, Conservatorship, and Guardianship documents to ensure completeness and compliance, identifying deficiencies, and accurately updating system records and case statuses. The role also involves processing high‑volume forms such as UBEN 419, researching and resolving CCM cases, performing document imaging, indexing, and records management activities, completing external agency forms (including CalPERS and CalSTRS) through detailed member record research, and supporting returned mail tracking and outreach efforts. In a high‑volume, deadline‑driven environment, the BA2 will meet daily and weekly production targets, maintain accuracy while handling sensitive information, follow established workflows and compliance requirements, track progress in internal systems such as Redwood and CCM, and collaborate closely with team members and supervisors to ensure timely backlog reduction.

Required Skills & Experience

- Ability to efficiently manage high‑volume, repetitive work in a deadline‑driven environment
- Strong analytical and problem‑solving skills, particularly related to document validation and case research
- Ability to follow structured workflows and adhere to compliance and regulatory requirements
- Effective time management with a track record of meeting production targets
- Experience with case management or workflow systems (e.g., CRM, document tracking tools)
- Proficiency in document imaging, indexing, and records management practices
- Comfortable researching information across multiple systems and data sources
- Clear written and verbal communication skills, including accurate documentation of actions taken
- Strong collaboration skills, with the ability to work effectively in a structured, production‑focused team environment

Nice to Have Skills & Experience

- Experience in financial services, retirement administration, or benefits processing
- Familiarity with legal documents such as Powers of Attorney, Conservatorships, or Guardianships
- Background in document services, records management, or high‑volume processing environments
- Knowledge of compliance‑ or regulatory‑driven processing standards
