Job Description

A leading biotech company is seeking a Payroll Specialist to join its accounting team. This role will focus primarily on U.S. payroll processing for both hourly and salaried employees and provide critical coverage during a period of growth and system transition. The Payroll Specialist will work closely with the payroll team to ensure accurate and timely payroll processing, support timecard management and payroll-related projects, and respond to employee payroll inquiries. This individual will play an important role in maintaining compliance, supporting audits, and contributing to ongoing system improvements.
Key Responsibilities Include:
• Processing and supporting U.S. payroll for both hourly and salaried employees
• Coordinating timecard review and approvals, ensuring all timesheets are submitted and approved in a timely manner.
• Preparing post-payroll files and schedules, including 401(k), FSA, and HSA contribution files for remittance and audit support.
• Responding to employee inquiries and requests related to payroll, deductions, and pay discrepancies.
• Supporting payroll-related audits, surveys, and reports, including financial, tax, 401(k), workers’ compensation, and proxy reporting.
• Maintaining compliance with accounting policies, procedures, and SOX controls related to payroll.

Required Skills & Experience

• 3–5+ years of hands-on payroll or HR/payroll experience, supporting U.S.-based employees.
• Strong experience using ADP WorkforceNow for payroll processing and timecard management.
• Comfortable reviewing, approving, and coordinating timesheets in a fast-paced environment.
• Experience handling payroll deductions and responding to employee payroll questions.
• High level of accuracy, integrity, and attention to detail in payroll processing.
• Strong communication and customer service skills, team-oriented mindset, and a pro-active approach.

Nice to Have Skills & Experience

• Experience with or exposure to Workday Payroll, especially during system implementations or transitions.
• Familiarity with Canadian payroll or an understanding of different tax jurisdictions.
• Experience supporting audits, SOX testing, or payroll-related reporting.
• Knowledge of stock-related payroll transactions such as options, ESPP, or RSUs.
