Day to Day
This role supports a variety of project teams by keeping documentation, schedules, and administrative workflows running smoothly. The coordinator acts as a central resource for organizing project materials, preparing client‑facing documents, and helping project managers stay on top of deadlines and deliverables. The position requires someone who is detail‑oriented, proactive, and comfortable interacting with both internal staff and external partners.
Responsibilities
• Prepare, edit, and format project documents, reports, and correspondence
• Maintain organized digital and physical filing systems for project materials
• Track and request insurance documentation and ensure certificates remain current
• Follow internal quality standards for document control and project recordkeeping
• Support meeting logistics, including scheduling, materials preparation, and presentation coordination
• Interact professionally with clients and project stakeholders
• Assist multiple project managers with administrative needs such as guides, reviews, invoicing, and expense processing
• Contribute to other operational tasks as assigned

Required Skills & Experience
Must‑Haves
• Bachelor's Degree
• At least 1 year supporting projects, teams, or office operations
• Strong command of Microsoft Word and Excel
• Ability to stay organized while supporting multiple managers and shifting priorities
• Professional communication skills and a collaborative mindset aligned with an employee‑focused
culture
Nice to Have Skills & Experience
Plusses
- Finance or related degree
• Prior experience working in engineering, architecture, or other technical consulting environments
• Exposure to project‑based tools such as Microsoft Project, Newforma, Procore, ACC/Forma, Bluebeam
• Familiarity with presentation or design software like PowerPoint or InDesign
• Comfort assisting with marketing‑related tasks or proposal support
• Advanced Excel capabilities
