Job Description
An employer in the Bay Area is seeking an experienced Permit Coordinator to support the end-to-end permitting process for industrial, commercial facilities and workspace projects. This role plays a critical part in ensuring projects move efficiently from early design through inspections by coordinating closely with internal design and project teams, local jurisdictions, and external stakeholders such as landlords.
The ideal candidate is highly organized, comfortable managing 15–20 active permits simultaneously, and confident communicating with cities and jurisdictions to proactively identify requirements, resolve issues, and expedite approvals. This is a fast-paced, detail-oriented role that combines desk work with occasional site and lab visits to better understand project needs.
- Manage the full permitting lifecycle, from early design and application submittal through final inspections
- Coordinate and expedite permits with local jurisdictions (commercial-focused; residential familiarity is a plus)
- Review permit sets and construction drawings; partner with project teams to ensure compliance upfront
- Work directly with city planners, permit coordinators, and inspectors to clarify requirements and resolve comments
- Support permitting efforts with jurisdictions such as Palo Alto, including walking through plans and identifying approval paths
- Track permit status, reviews, fees, inspections, and approvals across multiple projects
- Maintain permitting trackers and dashboards for internal stakeholders
- Estimate permitting timelines and costs; support discussions on what’s required to move permits forward
- Process and manage permit fees, including wire payments and purchase card transactions
- Participate in inspections as needed and support issue resolution
- Communicate with landlords and external partners to secure design and project approvals
- Occasionally visit lab or project spaces to understand scope and conditions impacting permits
Pay Range for this role is $35 - $45 depending on years of experience and education

Required Skills & Experience
- 2–3+ years of experience coordinating and expediting permits for commercial projects
- Hands-on experience working directly with local jurisdictions and permitting departments
- Ability to manage 15–20 permits concurrently across different phases
- Experience reviewing plans and permit sets for completeness and compliance
Proficiency with:
Bluebeam
Accela (or similar jurisdictional permitting systems)
Microsoft Office
Power BI or Minerva (tracking/reporting tools)
- Strong organizational skills with the ability to juggle competing priorities and strict deadlines
- Confident communicator comfortable engaging with cities, inspectors, landlords, and internal teams
- Proactive mindset with a natural ability to follow through and expedite where possible
Nice to Have Skills & Experience
- Prior permitting experience in Palo Alto or similar Bay Area jurisdictions
- Background permitting machinery, electrical, or mechanical scopes
- Experience with telecommunications or infrastructure permitting
- Familiarity with zoning regulations and department workflows
