What You’ll Do
- Managing workload – prioritizing work and ensuring deadlines are met.
- Project Start-Up/Initiation including contracts, RFP/RFBs, work authorizations, creation and/or maintenance of project directories, cloud-based file sharing sites, opening project and sub-project numbers.
- Early Project Phases tasks including but not limited to consultant contracts and contacts, consultant work authorizations, accurate project file documentation, project filing, copying/scanning, creation/maintenance of various spreadsheets, correspondence, maintenance of logs (project IDs, scope, schedule, responsible parties), meeting coordination and video conference set-up as required, and preparation of meeting agendas/notes.
- Design Documentation/Construction Administration Phases tasks include file sharing, contract and invoice management, design review documentation, meeting agendas, meeting minutes, issue resolution logs, design QA/QC initiation, drafting RFI/Submittals and maintaining tracking logs, balancing project budgets, and managing deliverables and providing weekly updates.
- Proposal and Bid-leveling activities and development of Request for Proposals/Requests for Bids for external vendors, consultants, and contractors.
- Site visits including reviewing and documenting existing conditions or construction progress.
- Coordination with AHJ’s including permit submissions, project reviews, processing fees.
- Project Close-Out tasks include as-built documentation archiving including plan, equipment schedule, and single line consolidation.
- Familiar with permitting process, tracking, and updating permit folders, tracking permit budget etc. as well as fostering relationships with AHJs.
- Supporting updates to project schedules in MS Project or budget updates in Project Management software.
- Primarily based in Bay Area, CA (either Fremont or Palo Alto) with travel to other Bay Area locations on as-needed basis.
Pay Range for this role is $30 - $40 per hour

Required Skills & Experience
- 2-5 years of experience in an supportive capacity preferably with an engineering, architecture or construction firm.
- Associates or Bachelor's Degree in Science, Technology, Engineering or Math (STEM).
- Ability to effectively prioritize with strong time management skills and adapt to change in a fast-paced environment.
- Superior verbal and written communication skills, attention to detail with a strong sense of urgency.
- Intermediate to advanced skills in MS Office Suite (Outlook, Excel, Word, PowerPoint).
- Proficiency in Bluebeam.
Nice to Have Skills & Experience
- Passion or experience within sustainability or green infrastructure
- Revit, AutoCAD, Aconex, PlanGrid, and or Procore.
