Job Description
We are seeking an experienced professional to perform a comprehensive review of our Stock Administration (“Stock”) team’s end-to-end processes. The objective of this engagement is to ensure that all processes are fully documented, operating controls are appropriately designed and in place, and that the resulting documentation is sufficient to enable a new team member to independently perform the work using a clear, repeatable playbook.
A control review checklist for each control so the approver or peer reviewer understands what needs to be reviewed and/or approved.
As part of the process documentation, would like to have system integrations, parameters and frequency documented for each process.
Lastly, it would be helpful if the firm can propose opportunities for automation using EEO Workflow, AI, PowerBI, or RPA (where possible).
Scope of Work
The selected candidate will be expected to perform the following activities:
- Conduct a detailed review of all Stock team processes, including recurring, ad hoc, and exception-based activities.
- The engagement will encompass the complete end-to-end process landscape for the Stock team, including all primary, secondary, and supporting processes. It will not bleed into areas handled by other teams.
-Inventory existing process documentation and assess completeness, accuracy, and usability.
-Identify documentation gaps and create or enhance process documentation where needed, including:
- Process narratives / standard operating procedures
- Roles and responsibilities
- Key inputs, outputs, and handoffs
- Dependencies on upstream/downstream teams or systems
- Implications / impact of steps
- Review and assess existing operating controls embedded within the processes, including:
- Control objectives and design
- Ownership and execution
- Frequency and evidence
- Identify areas where controls are missing, insufficient, or unclear, and document recommended control enhancements.
- Document the implications of each process, including downstream impacts, risk considerations, and potential failure points.
- Produce a consolidated, well-structured “playbook” that would enable a new team member to understand and perform the Stock team’s responsibilities based solely on the documentation.
- Provide observations and practical recommendations to improve process clarity, consistency, and risk management.
Deliverables
Expected deliverables include, but are not limited to:
- A complete set of updated and/or newly created process documentation
- A consolidated Stock team playbook suitable for onboarding and ongoing reference
- A summary of identified gaps, risks, and recommended improvements related to process design and operating controls

Required Skills & Experience
- Experience with Stock Administration, Equity Edge Online, or comparable operational functions
- Strong background in process documentation, operational reviews, and internal controls
- Ability to work independently while partnering effectively with internal stakeholders
- Clear, practical documentation and communication style
