Job Description

Key Responsibilities



Manage calendar, travel arrangements & expense reports

Facilitate smooth communications between the executives and other internal SE team members and between the executives and external parties such as startup founders and other VC funds.

Will have access to the email accounts of supported staff to schedule their appointments and answer or redirect inquiries from internal or external sources.

Participate in meetings, take notes, prepare materials, organize correspondence & manage SE Ventures office for a seamless visit experience of external parties and other SE team members

Greet visitors at the office

Light cleaning/tidying up, especially after large meetings or catering

Update and/or order office supplies and stock up on kitchen pantry

Liaison with office building management and landlord on all matters

Manage third party vendors for the office

Coordinate with internal Schneider Electric teams on procurement, budgeting, legal, office security, IT, etc

Assist in coordinating local events and catering, including internal team activities and meetings with visiting SE executives or outside parties

Must have the ability to be a 'Jack of all trades'. Must be able to juggle many tasks simultaneously. Must be able to plan, prioritize, and manage the multiple tasks that have been assigned to him/her before their deadlines.

Be the point of contact for trouble shooting travel and technology issues especially when senior partners are traveling

Assist the Managing Partner, SE Ventures on ad hoc project based work

Required Skills & Experience

Five years of office manager or administrative experience at a VC/PE Fund, Investment Bank or a client facing organization is desirable

Excellent verbal and written communication skills

Expert ability using Outlook for correspondence and calendar management of behalf of the Managing Partner and GPs

Experience using Coupa (procurement) and Concur (travel and expenses) preferred

Experience using Microsoft Office programs including, but not limited to Teams, Word, Excel and PowerPoint

Strong organizational skills including, but not limited to, the ability to handle multiple demands and assignments and the ability to prioritize tasks effectively and efficiently.

Requires the ability to exercise independent judgment and a high degree of initiative in resolving problems and developing recommendations.

Knows how to leverage resources and delegates effectively

Displays a positive and team first attitude

Continuously seeks ways to enhance contribution to those they support

Exercises considerable discretion and independent judgment and is capable of analyzing complex information requests

Work is generally of a critical or confidential nature

Curiosity and self-motivated pursuit of systems training and other skill-building

Friendly and upbeat demeanor

Ability to work from the Menlo Park office 5 days a week, as needed

135-140k rate

Benefit packages for this role will start on the 31st day of employment and include medical, dental, and vision insurance, as well as HSA, FSA, and DCFSA account options, and 401k retirement account access with employer matching.
